Position: Private Events Administrator

Status: Part-Time (20 Hours per week) 

Compensation : $20 per hour + performance bonus (Starting salary) 

Job Description

Job Responsibilities:

All leads received must have a 24 hour or less response time

No less than 25 events booked per month 

  • Provide administrative support to Owners as needed 

  • Work with and manage in-bound inquiries via email & telephone within 24 hours of initial contact

  • Guide clients through their event planning, the event process, and the event execution.

  • Working directly with clients to give them the best experience possible throughout the event planning process, as well as executing events to the high standard that our team has put in place

  • Booking, detailing, and carrying out events from start to finish 

  • Make confirmation calls to Guests, make recommendations, and ensure menus and Guest counts are finalized in a timely manner (GATE CHECKS)

  • Respond to complaints or feedback and resolve issues quickly so Guests walk away with a positive outcome

  • Providing feedback, and data regarding the success of individual events

  • Manage efforts toward Private Events, work toward sales efforts to sell out our Private Events Spaces

  • Maintain positive and ongoing relationships with clients and vendors, especially by replying to all forms of communication in a timely manner

  • Develop and maintain strategic relationships with corporate and non-profit clients

  • Organize and categorize all sales leads for easy reference in the future

  • Work with the Keyur to create, manage and meet sales goals

  • Execute quarterly sales targets (from events standpoint)

  • Stay up to date with the Cobblestone OTR/The Pitch culture and new directions the company is taking with brands, beer, products, etc

 

Job Requirements:

  • Mandatory skills required: Ability to execute keyboard shortcuts, must possess average typing speed of 65 words per minute

  • Ability to prioritize tasks and work under pressure while dealing with multiple deadlines

  • Ability to work evenings, weekends, and some holidays

  • Excellent analytical and problem-solving skills

  • Commitment to high Guest service standards

  • Self-starter, strong work ethic, adaptable and open to new ideas

  • Strong interpersonal skills, excellent communication (both verbal and written) and exceptional customer service skills required

  • Must be great at multitasking, extremely detail oriented, possess the ability to stay organized and manage your time well (Send and book event contracts quickly, diligently keep contracts, and payments for all events managed, on time and organized)

  • Ability to see big picture combined with willingness to be hands-on

  • Need to be fearless in knocking on doors and making calls and have an appetite to find prospects and close the deal

  • Hunger to learn and grow
